General information

Event Overview

The Galveston ISD tournament takes place on Halloween, Saturday, October 31, at Central Middle School. Students from across the district and region will showcase their engineering skills, coding talents, and problem-solving abilities in this exciting competition.

Costumes and Festivities

In the spirit of Halloween, attendees and participants are welcome to wear costumes. To maintain a safe and focused environment, please keep the following guidelines in mind:

  • Outfits must be school-appropriate and non-distracting.

  • Costumes must not interfere with robot driving, arena visibility, or pit safety.

  • Masks or props that obstruct vision or movement are not permitted around the game fields.

Judging format

All judging for this event will utilize Digital Engineering Notebooks. To give the judging panel adequate time to review and score notebooks prior to the competition, all links must be submitted one week before the event date .

  • Submission Deadline: Saturday, October 24, at 11:59 PM (one week prior to tournament day) .

  • Submission Method: Primary team contacts must post the notebook link directly into their team profile on their registration account dashboard (via RECF Events) .

  • Format: Native digital notebooks or scanned PDF versions of physical notebooks are accepted.

  • Access Permissions: Ensure the shared link permissions are set to "Anyone with the link can view" with no login or password required. Inaccessible links cannot be scored.

  • In-Person Interviews: All teams submitting an eligible notebook will participate in a short, in-person interview with the judges in the pit area during tournament day .

Note: Physical notebooks brought on tournament morning will not be accepted for award consideration.

Parking Instructions

Tournament parking is free and available on a first-come, first-served basis:

  • Designated School Lots: Vehicles may park in the official school lots located within the black iron fencing.

  • Street Parking: Additional parking is available along the street directly in front of the school building.

  • Loading Zone: Teams transporting equipment and pit bins may use the front curb area briefly for unloading before parking in a designated space. (There is a ramp)


Helpful Travel Tips

  • Causeway Traffic: Teams driving in from the mainland via Interstate 45 South should account for potential morning bridge and island traffic.

  • Early Arrival: Plan to arrive between 7:30 AM and 8:00 AM to allow ample time for parking, pit setup, and robot inspection before the driver meeting.

  • GPS Guidance: Searching for "Central Middle School, Galveston, TX" or entering 3014 Sealy Ave into navigation apps will lead directly to the main campus entrance.


Emergency information

Event Day Emergencies

In case of an urgent medical or safety emergency during the tournament:

  • Immediate Assistance: Dial 911 for life-threatening emergencies.

  • Coach Responsibility: Lead coaches must carry printed emergency contact information, parent permission slips, and any critical medical notes for every student on their roster.


Inclement Weather and Cancellation Policy

If severe weather, travel advisories, or unexpected facility closures impact the event:

  • Notification: Coaches will receive an alert via email and SMS using the primary contact details registered on the team portal by 6:00 AM on the morning of the event .

  • Rescheduling: The Event Partner will make every reasonable effort to announce an alternate makeup date or provide next steps regarding registration

  • Team Travel Decisions: If weather conditions in your local area make travel unsafe, notify the Event Partner as soon as possible so match schedules can be adjusted.

Refund policy

Team Cancellations and Withdrawals

Due to upfront event preparation, venue reservations, and operational expenses, no refunds will be issued for teams that withdraw or cancel their registration, whether the cancellation occurs prior to the tournament or on the day of the event .

  • If your team is unable to attend, please notify the Event Partner as soon as possible so the match schedule can be finalized accurately and waitlisted teams may be invited .

  • Unpaid registrations may be removed from the team list prior to the registration deadline at the Event Partner's discretion.


Event Cancellation by Host

In the rare circumstance that the tournament must be canceled by the host due to severe weather, facility issues, or unforeseen safety concerns:

  • The Event Partner will make every reasonable effort to reschedule the tournament to an alternate date .

  • If the event cannot be rescheduled, refunds may be issued minus non-refundable administrative and platform processing fees .
